AR Aging Summary

The AR Aging Summary shows every outstanding receivable grouped by customer and sorted into aging buckets by due date. It matches the standard QuickBooks-style A/R Aging Summary layout, so it can be handed straight to a bookkeeper or accountant.


Running the Report

  1. Go to Report > AR Aging Summary.
  2. Set the As of Date (defaults to today).
  3. Click Generate.

Use Print for a printed copy, or Download as PDF to save/email it.


What You'll See

One row per customer, with the outstanding balance split across these columns:

A grand total row at the bottom totals each bucket and the report as a whole.

Aging is measured from each receivable's due date, not the sale date. Customers with nothing outstanding are omitted.


What's Excluded

  • Paid off receivables
  • Cancelled receivables (as of the report date — see below)

Using a Past As-of Date

The As-of Date isn't just a label — the report reconstructs what the balances actually were on that date:

  • Receivables created after the as-of date are left out entirely.
  • Receivables cancelled after the as-of date are still counted as outstanding, because they were outstanding at the time.
  • Balances are rebuilt from payments recorded on or before the as-of date, rather than from today's live balance.

This makes it usable for closing out a prior month or matching a statement you sent earlier.

Known limitation

If a payment was edited or deleted after it was originally entered, the historical view uses the corrected/final payment record rather than the figure that existed on the as-of date. There's no payment-level audit trail to reconstruct from, so a past-dated report can differ slightly from what you'd have printed that day.


Permissions

Running the report — on screen or as a PDF — requires the read receivable permission. The report won't appear in the Report menu for staff without it.


Tips

  • Run it at month end with the as-of date set to the last day of the month for a clean period snapshot.
  • The 91 and over column is your collections list — start there.
  • Cross-reference with Receivables to open a specific balance and record a payment or cancel it.
